Privacy Policy

This policy explains what information the TOPFUEL AI Engine (the "Service"), operated by TOPFUEL Digital of Topeka, Kansas ("TOPFUEL", "we", "us"), collects, how it is used, and the choices you have. The Service is available at aiengine.topfueldigital.com.
What we collect and why
When you request access
- Your first name and email address, so we can send your private access link.
- We pass these details to our automation provider (Make.com), which stores your contact record and access token and sends the access email.
- We also use your email to send you newsletters and promotional emails from TOPFUEL Digital about our services. Every email includes an unsubscribe link, and you can opt out at any time without losing access to the Service.
When you use the assistants
- Your messages and the assistant's replies. These are sent to Anthropic, the company that provides the Claude AI model, to generate responses.
- Your saved conversations. Each conversation (your messages, the replies, and the names of any files you attached) is saved in Google Firebase so you can return to it from your Dashboard, on any device where you sign in with your access link. Conversations are linked only to a scrambled version of your access token, not to your name or email. They are deleted automatically 90 days after your last activity in them, and you can delete any conversation sooner from your Dashboard.
- Documents you've finished. When you start a later agent (for example, the Brand Overview after your Ideal Customer Profile), it reads your most recent finished documents from your own saved conversations, so you don't have to answer the same questions again. Only your own documents are used.
- Finished documents added to your customer record. When an assistant finishes one of your documents, we save it, a short summary of key facts from it (such as your business name, website, ideal customer and offer), and which documents you've completed to your contact record in our customer relationship system (GoHighLevel), through Make.com. We use this to follow up with you about your marketing and our services.
- Files you attach (logo images and PDFs). These are stored with Anthropic so the assistant can refer to them during your session. They are automatically deleted after 30 days.
- Website addresses you share. The assistant asks Anthropic's systems to read those public web pages so it can review your existing messaging.
- A session cookie (
tf_session) that keeps you signed in for up to 7 days. It holds your access token (in a form that can't be altered or read by scripts on the page), not your name or email. The token lets us match your finished documents to your contact record. It is essential for the Service to work. - Daily usage counts (how many messages and uploads you've sent today), kept in Google Firebase under a scrambled identifier to enforce fair-use limits. These counts are deleted after 2 days.
What we don't do
- We don't use advertising or analytics cookies, and we don't track you across other websites.
- We don't sell your personal information.
- Anthropic processes your messages and files to provide the Service under its commercial terms, which do not allow it to use them to train its AI models.

How long we keep information

Your choices and rights
You can ask us to access, correct or delete the personal information we hold about you, or to stop sending you emails, by contacting us at info@topfueldigital.com. You can unsubscribe from any email using the link in it. Depending on where you live, you may have additional rights under local law; we will honor requests as required.
Children
The Service is intended for business use by adults. It is not directed to children under 16, and we do not knowingly collect their information.
Security
We use encrypted connections (HTTPS), signed session cookies, server-only access to AI and database credentials, and per-session checks on attached files. No system is perfectly secure, so please don't share sensitive personal information (such as financial account numbers or health information) in the assistant.
Changes
We may update this policy. When we do, we'll change the "Last updated" date above. Significant changes will be highlighted on this page.
